

The following Guide provides STEP by STEP instructions on HOW to successfully Provision (section II)/Manage (section III) /Delete (section IV) Cloud Fax mailboxes with either NEW Cloud Fax numbers or existing Fax numbers via Porting.
I. Getting Started
Go to the OSSmosis 5 (INTERNAL BETA) link via ClearLogin
Choose the Enterprise/Group and select: TELEPHONY SETUP > CLOUD FAX (Manage TILE or Header)

II. PROVISION A NEW CLOUD FAX USER(s)
Step 1: Choose the ACTIONS icon and select the ‘Add Cloud Fax User’ option

Step 2: Select ONE of the following OPTIONS available from the ACTIONS icon:

- Upload File (Batch upload a set of Cloud Fax Users using a template)
- Add Cloud Fax User (Build one Cloud Fax User)
- Reset: Refreshes the Cloud Fax Management Page
Step 3:
(OPTION 1): The provisioning of a new Cloud Fax user requires the following criteria to successfully activate the Cloud Fax Mailbox to the Cloud Fax Number.
There are four (4) required fields in order to successfully provision a new Cloud Fax user.
The Required Fields:
- Email (Required)
- Password (Required)
- Time Zone (Required)
- Package (Required)
- Phone Number (Required)
(NOTE: This information should be filled out and submitted by the client admin in the Service Delivery – Cloud Fax Implementation Workbook)
BEFORE (Details pending to be filled out)

AFTER (All user details filled and ready for provisioning)

(OPTION 2): If the Fax DID is NOT ported to Pangea LNP, new Fax DID’s can be provisioned on the Cloud Fax User Creation process. Here’s how:
- In the “Does this seat require a new number?” field, select yes.
- This will then make the “Location” and “Phone number” field active for selection.
- Select the preferred AREA CODE (NOTE: Suggested by the Client Admin or determined by the Location Address area code on the Group/Location level)
- Select an AVAILABLE phone number from the drop-down list (NOTE: These numbers are pulled from the Cloud Fax vendor’s number database and are LIVE).
- Press SAVE in ACTIONS and the Cloud Fax Seat is Created.
SELECT THE AREA CODE

SELECT THE NEW FAX PHONE NUMBER

PRESS SAVE TO PROVISION THE NEW USER WITH A NEW FAX NUMBER

Option 3: If a new Fax Number is established via Pangea temporarily but a port is also scheduled for their existing Fax number.
- Follow the steps in Option 2.
- Once the port is complete, go back to the user
- Under ‘Does this seat Require a new number’ > Select No
- Enter the ported Fax Number instead.
III. Manage Cloud Fax CONFIGURATIONS
Once the Cloud Fax seat is ACTIVE and LIVE the following options are available in the ‘Cloud Fax Configurations’ Tab:
1. Global Configuration
- Allow Resend Fax
- Allow PC to Fax (Printer Driver option)
- Receive Faxes as PDF (uncheck for tiff): This is a default setting and can be unchecked if clients want that option.
2. Fax Confirmation Settings
- Confirmation Email: Enter the email or distribution list where Failure/Success emails can be sent to.
- Receive E-Mail Confirmation on:
- Failure (If the Fax FAILED to deliver to an electronic Fax user or physical Fax machine)
- Success (If the Fax SUCCESSFULLY delivered to the participant)
3. Email Content (via the Fax Confirmation Settings)
- Text (info on the success/failure on the Cloud Fax sent)
- Text and First Page (info and the First page of the fax for the success/failure on the Cloud Fax sent)
- Text and All Pages (info and all Pages of the fax for the success/failures on the Cloud Fax sent)
4. Manage E-Mail Addresses
- Add Additional email addresses/shared mailboxes/distributions lists the SUCCESS and/or FAILURE of the Cloud Faxes sent by end-users.

IV. DELETE CLOUD FAX USER(s)
A. Please note the following before executing the deletion of a user(s)
- Only one Cloud Fax user can be deleted at a time
- If the DID is pulled LIVE from Pangea, the Fax Number will be released
- If the DID is ported, this needs to be noted by the Client Administrator if it requires to be re-used to a new Cloud Fax user.
B. If a Cloud Fax User requires to be DELETED, the following steps are required to be executed:
- Go to the ‘Manage Cloud Fax seats and configurations’ Main Page
- Select the user you want to delete
- Click on the customize icon (3 dots)
- Select DELETE
- Confirm DELETE of Cloud Fax user
